IDFA 

IDFA is a leading documentary film festival, which annually showcases documentary films and new media projects to 280,000 visitors over 11 days in November. Additionally, since the fall of 2023, it has its own home for documentary in The Documentary Pavilion in Vondelpark in Amsterdam. IDFA also organizes activities for professionals, attracting 3,000 international professionals. The organization is based in Amsterdam and consists of 50+ employees year-round. 

About the position 

As a Volunteer Coordinator, you are part of the Production & Digital department.  
The Production & Digital department handles the planning and organisation of the festival, from furniture and technology to scripts and drinks. In order to run the festival, we work with about 600 volunteers each year in a variety of positions. These volunteers are managed by two volunteer coordinators and an intern, who take care of all recruitment, classification, rostering and instruction. All volunteers are divided into teams, each with its own coordinator for direct management. Some of the teams are managed directly by the volunteer coordinator.  

We are looking for two coordinators. One will start in July and the other will join the team from September onwards.  

What will you do? 

  • Recruit all volunteers needed for the festival

  • Conduct introductory interviews with all new volunteers

  • Assigning volunteers to appropriate positions and teams

  • Scheduling in shifts for some of the volunteers

  • Requesting and coordinating the catering orders from all volunteers and employees of the festival

  • Entering and printing all festival passes of all volunteers and employees

  • Being the first point of contact during the festival for empty shifts and extra requests for volunteers

  • Managing the email inbox of the volunteers during the entire period

  • Organising social and community building events such as volunteers screening and parties/activities  

Who are we looking for? 

  • You have 1 - 3 years of experience as a producer or volunteer coordinator, preferably of events

  • You are a precise person who likes to work in a well-organised way and make lists 

  • You know how to keep an overview and set priorities in any situation 

  • You are hands-on and enjoy communicating and working with all kinds of people 

  • You are representative, diplomatic and communicative and know how to be clear in a friendly way. 

  • You are flexible and stress resistant 

  • You enjoy learning new computer programs quickly 

  • Able to speak, write and understand Dutch on a C1 level 

  • Preferably residing in Amsterdam 

  • Your command of English is good, the working language in the office is English 

What do we offer? 

  • An fixed-term contract. From July to October: 0.6–0.8 FTE. Full-time in November and 0.3 FTE spread over the month in December.


Salary

  • The role of Volunteer Coordinator is classified in grade 5 of IDFA’s Generic Job Classification System.

  • The salary range is between €2897,- and €3342,- gross per month for a full-time position (38 hours per week), excluding 8% holiday pay.


Holidays and leave

  • If you are employed on a full-time basis, you are entitled to 25 days’ holiday per year. These will be paid out at the end of your employment.


Terms of employment and benefits

  • Hybrid working: you can flexibly alternate between working from home and working in the office.

  • A solid pension scheme, with the employer contributing 75% and the employee 25% of the contribution.

  • Travel allowance within the Netherlands if you live outside Amsterdam.

  • Lunch at the office on the days you work there.
