At IDFA we're looking for a Producer Development & Invitations to join our team.

IDFA (1988) is a leading international documentary institute focused on inspiring and guiding talent. It brings together a wide range of activities: from (public) festivals, funds, and markets to new media, talent development programs, education, and a documentary hub in Vondelpark.

Throughout the year, the organization consists of 50 employees. In the months leading up to the festival, the team expands with temporary staff and interns.

For the Development department, we are looking for a Producer Development & Invitations.

What will you do?

  • Provide production support for the implementation of IDFA's Development policy.

  • Act as project leader for Invitations to the Opening and other events.

  • Organize deliverables for partners during the festival.

  • Sell advertisements and market screenings.

In this role, you will focus on the following tasks:

  • Work with various systems such as CRM (Salesforce), Monday.com, Fiona (film database), and Office365.

  • Coordinate and send Special Guest passes and vouchers.

  • Organize hosted events: set up contracts, register in the CRM system, send specifications, collect and implement texts and promotional materials, prepare invoices.

  • Market screenings: act as a contact person, collect invoice data, send specifications, prepare invoices.

  • Request and prepare slides.

  • Advertising sales: create and register agreements in the CRM system, send specifications, prepare invoices.

For the Opening Invitations:

  • Compile the invitation list in the CRM system, and be responsible for contacts across all departments.

  • Create invitations in ActiveTickets and write the text in collaboration with the MarCom department.

  • Follow-up: send additional invitations and reminders, and check RSVPs.

  • Manage the invitee mailbox and answer questions from guests and the IDFA team.

  • Maintain contact with the Ticket Coordinator.

  • Manage the guest desk with the guest list during the event.

  • Provide feedback to Salesforce, process the scan list (this can be done after the event or even after the festival).

What do we offer?

  • A temporary full-time contract from August 18 to November 28.

  • The position is classified as Producer 3 according to IDFA's generic job classification, which corresponds to a gross monthly salary between €2,349.42 and €2,745.62.

  • Travel expenses within the Netherlands are reimbursed if you live outside Amsterdam.
