Guest Services Intern

At IDFA we're looking for a Guest Services Intern to join our team.
Part-time · Amsterdam

About IDFA Industry
IDFA is an international documentary institute, hosting an annual festival in November with 300+ films and an extensive industry program. Our Industry Team runs events and services aimed at the 3000+ film professionals who come to Amsterdam during the festival to do business and find new partners.

About the role
Join our dynamic Industry Team as an intern to gain hands-on experience in the documentary film industry. You will learn how a large festival like IDFA deals with hospitality, find out how the administration works, how budgets are organized, how visa application works, learn about the partnership with hotels and get insight in services a festival offers to professional guests.

The Guest Services team within our Industry department is responsible for assisting our guests in planning their stay. As an intern, you are a full-fledged member of the department, while being guided by a professional employee. Besides getting to know your own department, you will also get to know the documentary film industry through your contact with filmmakers, producers, sales agents, distributors and your colleagues in other departments within IDFA.

 Key Responsibilities

  • Supporting the department with various administrative tasks, like processing accreditation applications, sending out invoices, communicating with guests, keeping track of financial agreements;

  • Coordinating the travel arrangements of a small group of festival guests;

  • Taking minutes in central inter-departmental meetings;

  • Organising excursions for international guests;

  • Supporting our guest desk volunteers during the festival and welcoming your guests when they arrive in Amsterdam to guide their visit to the festival.

Who you are

  • A film enthusiast with a passion for documentaries and curiosity about the industry;

  • A student nearing graduation (preferably in Film/Media Studies) seeking practical experience. Please note: You must be officially enrolled as a student and have a valid student ID to be eligible for this internship;

  • An effective communicator fluent in English (written and spoken); Dutch is a plus;

  • Organized and tech-savvy, able to quickly adapt to new software;

  • A team player with initiative, comfortable in an office environment;

  • Able to thrive in a fast-paced environment, maintaining strong organizational skills;

  • Eligible to intern in the Netherlands: Non-EU candidates must secure their own student permit and be enrolled at a Dutch university/HBO.

What we offer

  • Learning opportunities: Mentorship from industry professionals and exposure to global documentary trends;

  • Part-time role: 4 days/week (32 hours) from 18 August to 19 December;

  • Flexibility: Possibility to work remotely for part of the time;

  • Compensation: €300 monthly stipend + covered travel costs within the Netherlands (if outside Amsterdam) + lunch in the office;

  • Being part of IDFA Festival 2025: A festival pass, access to films and events, lunch and dinner catering, and free tickets to share;

  • Office culture: Collaborative, inclusive workspace.
